How we tested

Use the linked vendor records to check documented terms. Ask providers to demonstrate your required workflows and confirm current commercial terms in writing.

How to choose a medical scribe service for primary care

  1. Test note quality. Compare sample output against your documentation requirements before introducing patient data.
  2. Check the BAA scope. Read the proposed agreement and identify the entities, data and workflows it covers.
  3. Plan the rollout. Include time to configure templates and review documentation workflows.

On the BAA item, the scope question has a federal answer that vendors sometimes soften. Under 45 CFR 164.502(e) a practice may let a vendor create, receive or transmit PHI only on satisfactory assurance in a written contract, and HHS's Guidance on HIPAA and Cloud Computing states that a cloud provider is a business associate even when it stores only encrypted data it cannot read. An AI scribe records the visit, transcribes it and stores the note, and each step is PHI in the vendor's hands. 45 CFR 164.504(e)(2)(ii)(J) then requires the contract to say what happens to that audio and text at termination, so ask for the retention window in writing. Which practice vendors require a BAA covers the rest of the stack.

Frequently asked questions

Which medical scribe integrates best with my EHR?

If you are choosing the EHR and scribe together, decide the EHR first. How to choose an EHR and EHRs for small practices cover that decision.

Should a solo or small primary care practice still hire a human scribe?

A human scribe is a hire, with the staffing math a hire carries; practice staffing ratios and cost benchmarks covers the ratios, and medical virtual assistants covers the remote-staff alternative some practices use for documentation support.
