Prices and vendor descriptions with a source link come from the held vendor records, read on the date shown. A dash (—) means the unsupported field was removed; it is not a price or a statement about what the vendor offers. Best-for picks are editorial fit guidance. How we tested

Use the linked vendor records to check documented terms. Ask providers to demonstrate your required workflows and confirm current commercial terms in writing.

Guide inclusion criteria explain the evidence-packet policy and current guide orders. Full methodology is published at our Buyer's Guide methodology page.

How to choose practice management software for dental practices

  1. Decide on cloud vs. self-hosted before you talk to vendors. Confirm who manages backups, patches and data access for each deployment option.
  2. Audit imaging-vendor coverage early. Your sensors, your pano, and your CBCT each have to talk to the PMS. Make the vendor demo include your specific imaging hardware brand. Generic "imaging integrations" claims on a marketing page are not a substitute for confirmed compatibility with your installed equipment.
  3. Get the migration path in writing. Coming off Dentrix on-prem, Eaglesoft, or Easy Dental, the data migration is the largest single risk in a PMS switch. Ask each vendor for a migration scope of work, expected duration, list of data types they migrate, and what they explicitly do not migrate (perio history and imaging links are common gaps).
  4. Stress-test the billing and claims workflow in the demo. Practice management software comparisons criteria that focus only on charting miss the obvious operator-level question — does the front desk save time on claim submission, follow-up, and patient billing, or does the new system just relocate the work? Walk through one full claim end-to-end during the demo, with insurance verification and EOB posting included.
  5. Confirm support channels match your practice's hours. Ask each vendor which channels and hours are included.

On the claims item, the format is not the vendor's choice. 45 CFR 162.1102(b)(2)(ii), carried forward by paragraph (c) through August 14, 2027, adopts the ASC X12N 837 dental claim (version 005010X224) as the HIPAA standard, so every PMS submits the same transaction and the differences are in eligibility checks, attachment handling and follow-up. Data ownership also has a floor: 45 CFR 164.524 gives patients a right of access to their records that the practice must act on within 30 days, which a migration that strands perio history or imaging links can put at risk. The dental practice credentialing guide covers the enrollment work that has to be done before any claim goes out, and practice management software vs EHR settles the boundary for offices that need both.

Frequently asked questions

How much does dental practice management software cost in 2026?

For a startup office the PMS line sits inside a larger budget; how to start a dental practice carries the full startup cost stack, and EHR pricing transparency explains why demo-and-quote pricing is the norm in this category.

Is cloud or self-hosted better for a single-location dental practice?

The compliance side of that choice is settled. HHS's Guidance on HIPAA and Cloud Computing states that a cloud service provider storing electronic PHI is a business associate even if it holds only encrypted data it cannot read, and that a business associate agreement is required; 45 CFR 164.502(e) is the underlying rule. A cloud PMS vendor that will not sign a BAA is not an option at any price. Self-hosting removes that vendor from the chain and puts the 45 CFR 164.308(a)(1)(ii)(A) risk analysis and the backup obligations on the practice. How to vet an IT vendor or MSP for HIPAA compliance covers vetting the IT contact a self-hosted deployment depends on.

Do these vendors offer free trials or money-back guarantees?

If a guarantee matters to your buying decision, ask for it in writing during the sales process and have it referenced in the master agreement.

How do vendors get included?

Placement on this page cannot be bought. Vendors are included using our published methodology and the information and evidence available for each vendor. You can submit corrections or supporting evidence for review. Providers are listed alphabetically. Paid placement is labeled separately.

Bottom line

For a steady single- or two-location dental practice, include Open Dental in your evaluation. For a multi-location dental group or DSO, include CareStack in your evaluation. Practices already buying through Henry Schein can compare Dentrix Ascend; independent practices can include Curve Dental. Open Dental pricing and guarantee terms: Verify directly.
